Emergency & Incident Policy (Draft v1.0)

Important: Internal operational policy supporting the GS Astuto legal suite. Draft for review and customization.

GS Astuto

This policy explains the general approach GS Astuto uses when an accident, emergency or significant incident affects a guest or activity.

It applies to tours, bicycle rentals, accommodation and other GS Astuto operated activities.

1. Immediate Priorities

In an emergency our priorities are:

  1. protect life;
  2. prevent further injury or danger;
  3. contact appropriate emergency services;
  4. establish the location and condition of those involved;
  5. account for other participants;
  6. provide practical assistance; and
  7. document and follow up the incident.

2. Emergency Services in Japan

For immediate emergencies:

Ambulance / Fire — 119

Police — 110

Where life or immediate safety is threatened, emergency services should be contacted before waiting for GS Astuto.

3. Information to Provide

When reporting an emergency, provide as accurately as possible:

  • what happened;
  • exact location or GPS coordinates;
  • number of people involved;
  • nature of injuries or hazard;
  • telephone number of the caller; and
  • any immediate continuing danger.

4. Tours and Rides

During a guided activity, participants should follow reasonable instructions from the ride leader or responsible staff.

Where appropriate, GS Astuto may:

  • stop the activity;
  • move the group to a safer location;
  • call emergency services;
  • arrange vehicle assistance;
  • alter or terminate the route; or
  • separate affected participants from the continuing activity.

5. Bicycle Rental Incidents

Rental customers should notify GS Astuto promptly following a serious accident, significant mechanical failure, theft or loss.

Customers should not continue riding a bicycle that appears unsafe.

6. Severe Weather and Natural Disasters

GS Astuto monitors relevant conditions when operating outdoor activities.

Routes and schedules may be modified where conditions such as typhoons, flooding, landslides, extreme heat, heavy snow, earthquakes or official warnings materially affect operations.

Instructions and restrictions issued by public authorities take precedence over the planned itinerary.

7. Missing or Overdue Participants

If a participant becomes unexpectedly separated or overdue, GS Astuto will attempt reasonable contact and assess:

  • last known position;
  • planned route;
  • elapsed time;
  • weather and daylight;
  • participant capability; and
  • known hazards.

Police or emergency authorities will be contacted when circumstances reasonably justify escalation.

8. Medical Information

GS Astuto may request limited health or emergency information where reasonably relevant to participation.

Such information should only be used for appropriate operational or emergency purposes and handled in accordance with our Privacy Policy.

9. Incident Documentation

Significant incidents are documented internally.

Reports may include:

  • date and time;
  • location;
  • participants;
  • factual description;
  • injuries or damage;
  • actions taken;
  • emergency-service involvement;
  • photographs where appropriate; and
  • recommended follow-up.

Incident reports are operational records and are not automatically public documents.

10. After an Incident

GS Astuto may review an incident to identify changes needed to:

  • routes;
  • equipment;
  • maintenance;
  • operating procedures;
  • staff training; or
  • customer information.

The purpose is both appropriate follow-up and improvement of future operations.
